Questions & Answers

A medical practice management software is a digital solution that allows the management of consultations, patient records, appointments, billing, and electronic transmission. It facilitates the daily life of private practitioners while ensuring compliance with standards.

Medical software brings concrete benefits: time savings (appointments, prescriptions, billing), error reduction (controls and traceability), better patient follow-up (unified file, history, reminders), compliance and security (EU hosting, CNS, eSanté), as well as smoother CNS/PID v2 billing with simplified electronic transmission and reminders.

The best medical software depends on the needs of each practice. In Luxembourg, it is essential to choose a solution that complies with CNS and PID v2 standards, is easy to use, secure, and comprehensive (calendar, billing, patient records).

Why does a general practitioner or specialist need a management software in Luxembourg

In Luxembourg, medical billing must be prepared in PID v2 format and automatically transmitted to the CNS, making the use of software indispensable. Medical Office goes further: it centralizes the digital patient file, manages prescriptions and other electronic documents, and simplifies the entire flow of consultation, billing, and follow-up — while guaranteeing CNS and GDPR compliance.

You can choose between a monthly or annual plan.

Yes, indirectly. Since the widespread rollout of the PID v2 format, all medical invoices must be issued and transmitted electronically to the CNS. This implies the use of an approved or PID v2-compatible software capable of ensuring compliant and secure billing. A software like Medical Office simplifies this obligation by integrating CNS billing, patient records management, and data security into a single solution.

Yes, of course. Medical Office is accessible online from any computer or tablet connected to the Internet, whether you are at the practice, at home, or on the move. Access is secure, and data is protected in accordance with European standards.

What is the difference between a medical management software and the DSP

A medical management software is used to manage the practice’s activity: calendar, billing, patient records, and electronic transmission. The DSP, managed by the eSanté Platform, is a national medical record that centralizes the patient’s health information: biological analysis results, prescriptions, medical reports, and other follow-up documents.

A good medical practice management software improves the practitioner’s productivity and the quality of administrative work. It reduces errors, automates repetitive tasks (appointment scheduling, billing, electronic transmission), and facilitates patient follow-up. It also assists the secretariat in daily tasks: sending appointment reminders, payment reminders for invoices, or other documents intended for patients. Such a tool simplifies life for the doctor, the administrative staff, and the patients. Furthermore, it ensures optimal security of health data, compliant with GDPR and European standards. Automatic and encrypted backups guarantee fast data recovery when needed, while protecting the system against intrusions and cyberattacks.

The choice of medical software must be based on several essential criteria: it must be compatible with the PID v2 format, compliant with CNS and eSanté Platform standards, and guarantee maximum data security against cyberattack risks. A good software must be simple, fast, and intuitive in order to support the doctor in their daily work without slowing them down. It must also facilitate the administrative tasks of the secretariat — such as appointment management, scanning medical documents, or billing. Finally, it must also provide a benefit to the patient, for example, by allowing the sending of appointment reminders or informational messages to improve communication with the practice.

Yes, there are free or low-cost solutions, but they are often limited in features and poorly suited to the requirements of a professional medical practice. At Medical Office, we offer a free demonstration version that allows you to test all features with no obligation. Our team supports you at every step: initial configuration, training, and integration into your daily practice. Our plans are clear, with no hidden commitments, and you retain access to your data at any time. If you decide to cancel, we provide you with a complete and secure copy of your database, so you can freely reuse it in another software. Our priority is simplicity, transparency, and doctor satisfaction, so that they can focus on what matters most: patient care.

Yes, of course. Medical Office operates in a secure cloud and is accessible directly from your web browser. The software is compatible with most modern browsers on Windows, macOS, or Linux, and can be used on a desktop, laptop, or tablet.

The operation of PID v2 is similar to that of PID v1, but the invoice format has been fully standardized to align with future medical documents used in Luxembourg. The new PID v2 format includes a DataMatrix code readable by Luxembourg institutions, and the PDF is electronically signed using the doctor’s digital certificate, guaranteeing authenticity and security. PID v2 also introduces a new feature called “Remboursement” (Reimbursement), which is mandatory starting January 1, 2026, for unpaid PID invoices. Thanks to Medical Office, these invoices can be sent electronically to the CNS with a single click, even if they have not yet been settled by the patient. When the patient submits their printed invoice to the CNS for reimbursement, the CNS automatically links this paper version to the electronic one sent by the doctor via the Reimbursement flow, and then proceeds to reimburse the patient.

Each doctor has their own instance of the software and a dedicated database, guaranteeing a total separation of information between practices. All Medical Office instances are hosted in a secure cloud located in Europe, under 100% European jurisdiction, in accordance with the GDPR and the security standards applicable to health data.

Medical Office operates on a monthly subscription model, including:

  • full access to the application,

  • secure and encrypted daily backups,

  • automatic updates of CNS codes and data,

  • and free, localized support in Luxembourg. As an evolving service, all new features are automatically added to your instance at no additional cost.
